Terms and Conditions 2023

What does the price include?

The price includes all meals and activities. The costs of the weekend are able to be kept to a minimum because the team contribute as well! The weekend is based at a Histon Baptist church in Cambridgeshire.

What about travel?

Parents and guardians are responsible for the travel arrangements to and from the weekend venue.

Who is on the team?

The weekend is run by an experienced adult team and supported by a number of junior team under the age of eighteen. All of the team are volunteers and all adults (over the age of 18) have a DBS check. There is a high ratio of team to young people, normally 1:3. Training and preparation of team is given prior to the weekend.

What if I cancel?

The Booking Secretary should be informed immediately. If you cancel two weeks or less before the weekend commences, you will be liable for the full fee.

What if the weekend is cancelled?

In the event of the weekend having to be cancelled, or for some unforeseen reason curtailed, GenR8 undertakes to refund fees already paid to participants. The Booking Secretary will inform you immediately via the email address or the phone contact provided.

What about insurance?

GenR8 is fully covered for public liability. However we suggest that those who feel that additional insurance is necessary make their own arrangements.

Special needs

Whilst recognising that all children are special, some may have needs which require extra support. It is GenR8’s aim to include such children on our weekend within the guidelines of suitable provision and staffing. To do this we ask all parents to give us full details of their child’s special needs (ie. disability / medical condition / medication) at the time of booking in order that we can meet those needs to the best of our ability. We must also be advised at the time of booking if a child currently has or has recently experienced any behavioural or social problems which may affect their own safety and / or the well-being of others on the weekend.

Participation

We expect everyone who goes on the weekend to be fully involved in every aspect of the programme, including any duties, e.g. clearing up after meals.

Leaving the site

There are occasions on the weekend programme when children may need to leave the site in small groups accompanied by leaders for a specified period of time. This will be arranged as appropriate to their age and the location. Reasonable measures will always be put in place for them to contact other weekend leaders e.g. mobile phone number or an agreed meeting point.

Mobile phones

We do not encourage children to bring mobile phones to the weekend as experience has taught us that their use can cause homesickness and inconvenience to the smooth running of the programme. Our leaders do have permission to ban their use when used at inappropriate times. We expect them to be switched off and stored securely during the weekend activities.

Photographs

Your child may be photographed/videoed on the Xcellr8 weekend. Photographs and videos will only be used for promoting GenR8 and may be used on emails, our website, our social media pages (e.g. Facebook), or at events promoting GenR8 and Xcellr8. If you do not wish your child to be photographed/videoed, please tick the box on the consent form. We cannot take responsibility for any photographs/video clips that are put onto social networking sites by guests on the weekend. Please contact us if you have any concerns or would like to see any of our Safeguarding Policies (these include the use of photographs and videos and the use of Social Media).

Safety

The issue of safety is taken seriously throughout the weekend. All activities carry an inherent risk, and this is minimised to an appropriate level by taking all reasonable steps. All outdoor pursuit activities will be carried out under qualified supervision. For swimming your child must be confident in water. GenR8 has a Safeguarding Policy, and all leaders and team members are subject to this and undertake safeguarding training. Team members are subject to an Enhanced Disclosure issued by the Disclosure and Barring Service (DBS). More details can be obtained from GenR8.

Covid 19

We want to keep everyone as safe as possible over the weekend and aim to be compliant with any government guidance. Nearer the time we will let you know if any precautions will be in place for the weekend.

We will have an emergency plan in place if a leader or child develops symptoms over the course of the weekend.

Please don’t send your child to Xcellr8 if they show any symptoms in the lead up to the weekend.

Data protection

GenR8 will hold your details on file but will not release the information to any third party. Some details may be shared with the team to help with the running of the weekend.

GenR8 Reserves the right to:

  • refuse any application,
  • alter or cancel the weekend where necessary,
  • ask a child to leave the weekend if their behaviour is incompatible with the general enjoyment and well-being of others, in which case the parent or guardian will be informed, and collection arrangements must be made at their own expense and no refund will be given.

We welcome your comments in order to continue to improve our service to you. If there is a problem with the weekend, please contact us immediately and we will do our utmost to find a satisfactory solution. We would also like to hear from you with your positive comments.
